A cost volume is read against these figures. Price the travel from them.

What GSA allows for a night of lodging and for a day of meals is set by place and by month. A government evaluator reads the travel in your cost volume against those rates. The Per diem rates screen is the lookup, and the bid worksheet works a trip out from the same rates.

The lookup

A state, a place, a fiscal year

Pick a state and type a place or its county. Each destination shows its lodging rate for a night and its meals rate for a day. Open one and it shows the whole fiscal year: lodging for each month from October to September, and meals and incidentals for a full day and for the first and the last day of a trip.

Under that is every year on file for the same place, in one table, so you can see how the rate has moved.

  • A place inside a listed county takes that county's rate
  • Where neither the city nor its county is listed, the standard rate applies, and the screen shows it
  • What is in a meals rate: breakfast, lunch, dinner and incidentals
  • Lodging taxes are not in the lodging rate

On a bid worksheet

Add travel: a trip worked out from the rates

On a bid worksheet, press Add travel. Pick the place, then give each period of the bid its trip: the first day or the month, the nights, the travellers and how many trips. One button copies the same trip into every period, each as much later as the periods before it are long.

Lodging is each night at the rate of its month. Meals are each full day at the rate, and the first and the last day at three quarters of it. The lines that come back are ordinary cost lines, which the sheet prices and saves as it does every other line.

  • Airfare, a car and mileage are yours to type, on lines made ready for them
  • A trip later than the last year GSA has published is priced at that year, and its line says so
  • You may raise such a trip by that period's escalation for other costs
  • Work the travel out again prices the same lines afresh, and only when you press it

GSA's per diem rates

Rates for about 290 places are on file, for fiscal years 2021 to 2027. The figure is rounded down.

Where it stops

The lookup is on every plan, One Code included. Travel on a bid worksheet comes with the bid worksheet, which is on every paid plan. GSA sets these rates for the 48 contiguous states and the District of Columbia. Rates for Alaska, Hawaii and the territories are set by the Department of Defense, and they are not on file here. A rate is what is allowed, not what a hotel will charge, and there is no airfare, car or mileage figure in it.
