One account, and a seat for each person who works in it

A seat is one more person on your account. They work on the pipeline, the bids, the contracts and the books the account already holds. You choose what each seat may do, and who sees what people are paid.

The owner sets the role of each seat, and can let managers give roles based on a member or a viewer. A new seat starts as a member.

Three roles, set by the owner

A seat has one of three roles: member, viewer or manager. A member works in the account. A viewer reads the work and changes nothing, which suits an accountant, an adviser or a partner on a teaming agreement. A manager also invites and removes seats, so the owner does not have to be asked each time somebody joins.

The rule is kept on our servers and not only on the screen. A viewer who presses Save is told in one sentence that they can view the work and not change it.

On top of the three, an account can define roles of its own on Roles and access: which systems each role opens and what it may do there, with a system closed to one person beyond their role.

Seats

Each plan covers a number of seats, and the owner holds one of them. Shop covers 1 seat, Pro 3, Capture 10 and Enterprise 50. One more seat can be added to any paid plan by the month. The prices are on the pricing page.

Invite somebody by email from the Account screen. A person who is new gets a link to choose a password. A person who already has an account is asked first: nothing changes for them until they accept, and they can decline. An invitation stays open for seven days and holds a seat while it waits. The owner can withdraw it.

Anybody can leave an account from their own Account screen. What they made while they held the seat stays with the account.

What is shared, and what stays your own

The work belongs to the account: pursuits, bids, contracts, invoices, timesheets, the library, notes and the win record. Whoever made a thing is recorded on it. The AI readings of the month are counted for the account as a whole.

Some things stay with the person. Each person keeps their own watchlist, their own alerts and inbox, and their own sign-in. A saved view belongs to whoever made it until they share it.

Who sees pay

The books hold the pay rate of every person, every pay run and what the hours of each person cost. The owner always sees pay. A seat sees it only when the owner ticks Can see pay for that seat on the team list. A new seat starts without it.

Without it a person still fills in a timesheet and sees what a contract or a pool comes to. They do not see what anybody is paid.

Activity

The Account screen has an Activity card for the owner and for managers. It lists who did what on the account, newest first: seats added and removed, roles changed, who was allowed to see pay, changes of access, sign-ins and changes to two-step sign-in, bid decisions, changes to the company's handbook and glossary, and work that was made, sent, removed or taken out as a file. It can be narrowed to one person.

A line in it never carries a pay figure.

A seat on more than one account

A person can hold a seat on more than one account, which is how an adviser or a teaming partner works with several companies. They switch from the foot of the menu or from the Account screen. A line under the top bar names the account that is open while it is not their own, and says Viewing only for a viewer.

Each account keeps its own work. Switching moves nothing between them, and your own work stays in your own account.

Where it stops

An account that has seats of its own cannot also hold a seat on another account, and somebody who holds a seat on another account cannot add seats to their own. If a plan is moved down and covers fewer seats than it has, the longest-standing seats keep working and the others open their own account until a seat is added again. Nobody loses a sign-in or their work.
